Annex A.1: Annex A.1: Records processes
The organization has to operate the records processes its business needs and keep them under control.
What annex A.1 asks
The organization has to operate the records processes its business needs and keep them under control. The annex names the process set: creating records, capturing records, classifying and indexing them, storing them, using and reusing them, migrating and converting them, and disposing of them. Each process has to preserve the record's identity, integrity and usability, and the handover between processes has to be designed so that a record does not lose its context, its access rules or its retention status as it moves.
The annex turns the clause 8 duty into a process set: create, capture, classify and index, store, use and reuse, migrate and convert, and dispose. Each process has to preserve identity, integrity and usability at the handover.
Reading it in practice
Walk a single record through the seven processes and note every handover. The record is created in a business application, captured into a repository, classified, stored, used, perhaps migrated and finally disposed. Most losses happen at the handovers, when the metadata, the access rule or the retention status is left behind. The annex asks the organization to design those handovers, not just the repository.
The third edition is at stage 50.00 and its clause text is not public. Annex A is normative in the 2019 edition and the 2019 structure is the seven records processes. The third edition's annex is not public, so no change is stated.
Status: not shown in the public record. The 2019 requirement above is the one a certificate is issued against. No draft requirement is asserted.
Evidence for annex A.1
Expect a process map for all seven processes, capture rules and system configuration, and migration, conversion and disposition records with approvals.
- Records processes Process map covering creation, capture, classification, storage, use, migration and disposition
- Records processes Capture rules and system configuration for each process
- Records processes Migration, conversion and disposition records with approvals
Where annex A.1 commonly fails
- Processes run by different teams with no shared rules at the handover
- A migration that changes the record's format without preserving its metadata
What to do about annex A.1 before the revision
Walk one record through the seven processes and write down where it changes system, owner or format. Fix the handover that loses metadata or access rules.
