Clause 6.2: Records objectives and planning to achieve them
The organization must set records objectives at the functions and levels where work happens.
What clause 6.2 asks
The organization must set records objectives at the functions and levels where work happens. The objectives have to be consistent with the policy, measurable where practical, monitored, communicated and updated when circumstances change, and the organization has to retain documented information about them. For each objective it plans what will be done, who does it, when it is due, what resources it needs and how the result will be evaluated.
Objectives turn the policy into measurable results at the functions where work happens. Each one needs a baseline, a target, an owner, a date, the resources and the method of evaluation.
Reading it in practice
An objective such as improve records management cannot be evaluated. Capture completeness for a named process, retrieval success within a stated time, or the percentage of dispositions completed on schedule can be. The clause also asks for the plan behind the objective, so the resources and the owner belong on the same page as the target.
The third edition is at stage 50.00 and its clause text is not public. No public draft wording. The 2019 text moved the subject from top management to the organization and kept the requirement to retain documented information about the objectives.
Status: not shown in the public record. The 2019 requirement above is the one a certificate is issued against. No draft requirement is asserted.
Evidence for clause 6.2
Expect an objectives register and a progress report at management review. A target with no baseline cannot be evaluated, and an objective that restates the policy is not a result.
- Objectives Records objectives register with baseline, target, owner and due date
- Objectives Action plan for each objective with resources and evaluation method
- Objectives Progress report against the objectives at management review
Where clause 6.2 commonly fails
- Objectives that restate the policy instead of naming a result
- A target with no baseline, so no one can tell whether it was met
What to do about clause 6.2 before the revision
Write three objectives with a baseline and a target: capture completeness, retrieval success, disposition timeliness. Give each a name and a date. Report them at the next review.
