Clause 7.5.3: Control of documented information
Documented information required by the records system and by the standard has to be controlled so that it is available and suitable where and when it is needed, and protected from loss of confidentiality, improper use or loss of integrity.
What clause 7.5.3 asks
Documented information required by the records system and by the standard has to be controlled so that it is available and suitable where and when it is needed, and protected from loss of confidentiality, improper use or loss of integrity. The organization has to address distribution, access, retrieval and use; storage and preservation, including legibility; control of changes such as version control; and retention and disposition. Documented information of external origin that the system relies on also has to be identified and controlled.
Control is the operational heart of the documented information clause. It covers access, storage, preservation, change, retention and disposition, and it extends to external documents the system relies on.
Reading it in practice
Test the controls rather than describing them. Try to access a record you should not see, restore a backup, trace a change and find the approval for a disposal. The clause covers external documents too, which is where many systems fail: a supplier certificate, a regulator letter or a client contract relied on by the system needs the same control as an internal record.
The third edition is at stage 50.00 and its clause text is not public. No public draft wording. The 2019 text replaced the 2011 procedure with a set of controls: availability and suitability, protection, distribution and access, storage and preservation, change control, retention and disposition.
Status: not shown in the public record. The 2019 requirement above is the one a certificate is issued against. No draft requirement is asserted.
Evidence for clause 7.5.3
Expect an access matrix, storage and backup arrangements, a change log, a retention schedule and disposition records. The auditor will test one access rule and one disposal.
- Access control Access matrix showing who may view, change, export or dispose of each class
- Access control Storage and backup arrangements with preservation and legibility checks
- Access control Change log, retention schedule and disposition records for controlled information
Where clause 7.5.3 commonly fails
- Access granted by folder convention with no review
- External documents relied on but never identified or version controlled
What to do about clause 7.5.3 before the revision
Test one access rule against the matrix, one backup restore, and one disposal approval. Fix what fails. Add the external documents you rely on to the control list.
