Clause 8.2: Determining records to be created
For every business process the organization has to analyse and decide what records will be created and captured, when that happens and how.
What clause 8.2 asks
For every business process the organization has to analyse and decide what records will be created and captured, when that happens and how. The analysis has to be documented and authorized by top management. This is the appraisal step moved into the main text: it decides which activities leave evidence, which record is the authoritative one, what metadata it needs and at which point in the process it is captured. If this analysis is weak, every later control is working on the wrong records.
For every business process the organization decides what records are created, when and how, and documents and authorizes the analysis. This is where the right record is chosen and the capture point is fixed.
Reading it in practice
This is the clause to work on first. It decides which record is authoritative, where it is captured and what metadata it needs. The output is a documented analysis authorized by top management, not a procedure written by the records team alone. If the business owner has not approved it, the capture point will not hold when the process changes.
The third edition is at stage 50.00 and its clause text is not public. This clause is new in the 2019 edition and is a likely focus of any revision, because it carries the appraisal decision into the main text. The public record does not show the third edition's wording.
Status: not shown in the public record. The 2019 requirement above is the one a certificate is issued against. No draft requirement is asserted.
Evidence for clause 8.2
Expect a documented analysis per business process, approved by top management, and process maps that mark the capture point and the authoritative record.
- Appraisal Documented records analysis for each business process, approved by top management
- Appraisal Process maps marking the capture point and the authoritative record
- Appraisal Decision log for records that are deliberately not created
Where clause 8.2 commonly fails
- A retention schedule that names classes but no business process
- Capture left to whoever remembers to save the file
What to do about clause 8.2 before the revision
Pick one core process and document the analysis: what record, when captured, by whom, in which system, what metadata, how long kept. Get it approved. Repeat for the next process.
